Education Department Responsibilities
- Lead the Customer Service function of Education, which includes managing member inquiries related to program details for all education offerings, ensuring timely responses to emails and phone calls.
- Provide personalized guidance and support to members regarding their professional development needs.
- Collaborate with the Vice President of Education in overseeing certification programs, including CAM, CAMT, CAPS, CALP, as well as other education-related initiatives like the Avenues series, annual Education Conference, and additional seminars.
- Implement procedures for monitoring and overseeing the progress of credential students, ensuring the successful completion of course requirements, and facilitating their eligibility for acknowledgment at two annual HAA events.
- Conduct examinations for credential students in adherence to National Apartment Association Education Institute (NAAEI) protocols and examination procedures.
- Manage set-up for educational programs, seminars, and certification programs, including setting up rooms, handling registrations, processing payments, generating rosters and name badges, overseeing on-site registration, and coordinating staffing needs.
- Efficiently select and order food for all HAF courses while adhering to budget constraints.
- Handle various administrative tasks, such as maintaining student records and course files for certification programs, corresponding with the National Apartment Association (NAA), and preparing materials for courses.
- Update and maintain all course, event, and certification program information on HAA website. Includes adding all Education programs into iMIS database for public registration.
- Organize and schedule education training rooms set up for all Education programs as well as other programs for other departments.
- Assist with the Education Advisory Committee by preparing meeting materials, tracking committee member attendance, and attending all meetings.
- Communicate with all HAF program sponsors to provide details on sponsorship packages, collect commercials and ensure payment has been received.
- Maintain computer lab inventory and ensure all devices work and are up to date.
Events & Meetings Department Responsibilities
- Assist with the Customer Service function of Events, including but not limited to, responding to event registration inquiries and maintaining registration changes and updates.
- Communicate with all HAA event and meeting sponsors to provide details and assist with execution of sponsorship packages, collect company logos and commercials, and confirm sponsor attendee registration.
- Prepare materials for events and meetings, including registration rosters, signs, name badges, table signs, and other items as needed.
- Manage and organize printed materials for events, for example rosters, floorplans, scripts, timelines, staff schedules, etc.
- Assist with member volunteer committees for Chili Fest and Honors Property Awards on an as needed basis, including preparation of meeting materials specific to the meetings such as sign in sheets and agendas and attending these meetings when available.
- Attend all major HAA events and assist with event setup, execution and teardown, including the annual Houston Apartment Foundation (HAF) Chili Fest fundraiser.
Qualifications
- Administrative experience with a proven attention to organization and detail.
- Experience with logistical planning of programs, including catering bookings and meeting prep.
- Ability to effectively communicate and assist members with inquiries via email and phone.
